As the team’s Project Manager, this role is responsible for preparing and executing the project business plan including coordination and overseeing all budgeting, scheduling, design, construction contracting, change order negotiating, site inspection, building permitting, and related development activities (for projects assigned), providing overview and management assistance for other project managers as assigned by Senior Management, and ready to wear other hats as needed.

Office AdministratorNashville, TN

We're seeking an experienced Office Administrator to join our Nashville Team in creating our destination 5th & Broadway (Nashville, TN). Join us as we continue to grow our successes in our 39th year of business! 

As the team’s Office Administrator, this role is responsible for managing the administrative function for the onsite office, providing support to the onsite team and visiting partners and corporate team members, and other key responsibilities listed below.

  • Meets and greets with all guests, vendors, tenants, etc.; acts as an Ambassador for Project/Property and OliverMcMillan.
  • Possesses full knowledge of phone system (answering all calls within three rings); able to handle multiple calls in a world-class manner.
  • Manages calendar of events, meetings, appointments, etc. and confirms attendance.
  • Plans, coordinates and attends meetings, appointments and other events.
  • Plans and schedules all travel arrangements and ensures transportation, lodging, dining, and all other travel related items are scheduled and on time.
  • Coordinate and manage Development office set-up/move in and occupancy including scheduling, coordination, procurement and vendor management.
  • Retrieves and prepares files, emails, documents, plans, and other items for meetings, appointments, etc.
  • Prepares correspondences, speech and presentation notes, and other documents.
  • Creates legal documents (e.g. leases, contracts and letters of intent), verifies information for accuracy and completeness and formats against appropriate legal guidelines.
  • Reviews documents, emails, etc. for grammar and language edits/corrections.
  • Produces and maintains project-related documentation and records (e.g. schedules, inventories, vendors, consultants and costs).
  • Provides general support in updating budget, as required.
  • Maintains productive and strong relationships with business and personal contacts of the Development Director and team, and follows up on emails, phone calls, and other communications.
  • Reconciles monthly expenses for team; ensures accuracy and submits on a timely basis to Corporate Accounting.
  • Working closely with Corporate Accounting to code each third-party invoice; verifies accuracy of GL application and submits to Corporate Accounting on a timely basis.
  • Maintains onsite petty cash fund.
  • Ensures vendors have current and accurate certificates of insurance; creates and maintains log.
  • Monitors all utility payments and tracks usage and cost.
  • Initiates and returns calls to vendors, suppliers, contractors and company personnel at management's request.
  • Maintains the office directory and distributes on a regular basis.
  • Manages and coordinates office operations to ensure company requirements are sufficiently met daily.
  • Upon approval, orders all office supplies for onsite team; staying within stated budget guidelines.
  • Monitors office procedures and resolves problems through collaboration with pertinent contacts, and implements changes as needed.
  • Works with third party maintenance, janitorial and other vendors to ensure that the management office is fully functional always.
  • Performs other duties as assigned.

Construction CoordinatorNashville, TN

We're seeking an experienced Construction Coordinator to join our Nashville Team in creating our destination 5th & Broadway (Nashville, TN). Join us as we continue to grow our successes in our 39th year of business! 

You can expect to have the opportunity to learn and grow, while wearing a lot of hats in this exciting role.  This team member will be responsible for coordinating and managing assigned construction aspects of this key real estate development project to include tracking and managing the construction contracts, vendors and budget. Other key responsibilities include:

  • Creates and manages General Contractor’s reports such as GC performance, summary of budget and change orders required for billing, tenant coordination requirements, major design changes and other key issues.
  • Prepares GC’s PayApp for monthly draw.
  • Compiles and organizes documents for the completion of General Contractor contracts.
  • Prepares and monitors contracts with engineers, general contractors, subcontractors and consultants.
  • Tracks and manages the construction budget, keeping it updated and addressing concerns/issues in a timely manner.
  • Reviews billing from vendors against contracts and tracking progress of contracts.
  • Manages various stages of the project, i.e. 20 Day Preliminary Notices, Lien Releases, Insurance information, etc.
  • Coordinates and manages EMS System.
  • Manages city correspondence/permit fees.
  • Maintains information and documents for various projects at various stages.
  • Supports Director of Construction in scheduling calendars, maintaining files, and generating correspondences, proposals, etc.
  • Ensures Director of Construction is apprised of scheduled meetings and conference calls each day.
  • Performs other duties as assigned.

Residential Maintenance Technician Tempe, AZ

What You’ll Be Doing

We’re seeking a Residential Maintenance Technician with a Whatever It Takes approach to join our SALT team! This is a great entry level position into the industry and has growth potential. This role will be responsible for performing all activities related to the maintenance of assigned properties (i.e. residential facilities, parking lots, electrical/utility systems, pluming, etc.). Below are some common responsibilities in this role.

  • Applies knowledge of building operating systems such as HVAC, security and sprinkler systems, fire alarms, plumbing, heating, electrical and any other related setup to perform maintenance, preventive maintenance and/or repairs.
  • Applies proper construction and maintenance techniques and ability to use power and hand tools to perform repairs/maintenance/renovation.
  • Responds to emergency situations under any adverse working conditions, and makes informed and accurate decisions.
  • Assists contractors in the performance and completion of their work.
  • Identifies and reports unusual or hazardous situations to management to preserve the structural integrity of the building.
  • Maintains building interior by painting, cleaning and performing other necessary upkeep duties as scheduled.
  • Responds to complaints in a professional manner as appropriate.
  • Responds to on call after hours emergencies, as needed.
  • Solicits proposals from contractors.
  • Monitors maintenance/repair related supplies and report needs to management.
  • Maintains equipment, supplies and company vehicles in good working order.
  • Follows job related safety regulations as prescribed by training guidelines.
  • Performs other related duties as assigned.

  • H.S. Diploma or equivalent experience.

We're seeking a Development Associate to join our Team at our home office in San Diego. Join us as we continue to grow in our 39th year of business! 

Our Development Associate team member is responsible for assisting with the management of all aspects of the assigned real estate development project(s) to include managing, coordinating, and administering the project development process from initial concepts and planning stages, through acquisition, financing, entitlement approval, permitting, construction, and transition to operations, and being willing and ready to wear other hats as needed. Below are some other key responsibilities in this role.

  • Assists Development Director and Sr. Project Manager with management and coordination of pre-development efforts such as planning, budgeting, reporting, financial analysis, consultant oversight, etc.
  • Coordinates due diligence and transactional documentation for acquisition, financing, and disposition including ensuring accuracy and consistency of documentation, and facilitating document and information flow.
  • Manages all development and construction contracts and change orders including requests for proposals, creation, facilitation of negotiations, and administration to ensure compliance.
  • Assists with monthly capital calls, confirming accuracy, completeness, and compliance with development agreements, and assists with forecasting budget and cash flow requirements.  Currently entails equity capital calls and coming months will include bank draw requests and reporting.
  • Maintains information and documents for the project at various stages, involving strict document control management through organized recordkeeping and effective filing.
  • Administers and coordinates on-going compliance requirements of various funding sources and development agreements.
  • Assists Accounting with AP inquiries, obtaining necessary invoice revisions and supporting documentation.
  • Performs other duties as assigned.
